If you have started looking at business software, you have met two acronyms again and again: ERP and CRM. Choosing the wrong one can waste months and a lot of money, so it pays to understand the difference.

What is a CRM?

CRM (Customer Relationship Management) software manages everything about your relationship with customers and prospects. It focuses on the outside of your business.

  • Lead, contact and pipeline management
  • Follow-up reminders and task automation
  • Email, call and WhatsApp integration, plus support and reports

Goal: win more customers and keep them happy.

What is an ERP?

ERP (Enterprise Resource Planning) software manages the internal operations of your business, connecting departments in a single system.

  • Accounting and finance, including GST invoicing
  • Inventory and procurement
  • Manufacturing, production and supply chain
  • HR and payroll

Goal: run the business efficiently with accurate, shared data.

When do you need a CRM?

  • Leads are tracked in WhatsApp, Excel or notebooks
  • Follow-ups are missed and deals fall through
  • You cannot tell which leads came from where
  • Your sales team lacks a clear process

When do you need an ERP?

  • Inventory, accounts and orders live in disconnected tools
  • Month-end reporting takes days
  • You run manufacturing, distribution or multi-location operations
  • Data errors and duplicate entry are slowing you down

Do you need both?

Many growing companies end up with both, and they work best integrated. When a sale closes in the CRM, the order flows into the ERP for invoicing, inventory and delivery, with no re-entry.

How to choose

  1. Identify your biggest pain point. Is it getting customers or managing operations?
  2. Consider your size. Small businesses usually start with a CRM; operations-heavy companies lean towards an ERP.
  3. Plan for growth. Pick systems that integrate or scale later.
  4. Check Indian requirements, such as GST, e-invoicing and local payment methods.
  5. Count the total cost, including setup, training, customisation and support, not just the licence.
